Budget Management

Our customised Plan Management software platform allows us to track all Plan Management costs against your NDIS budget with up-to-date totals against each of your funding categories. You will receive:

  • Budget statements on the 1st of each month or whenever requested.
  • Login access with a log in to the online dashboard to see exactly how your budget is tracking.
  • Ability to choose to approve invoices before they are processed or leave that to the Plan Manager.

You can also choose to provide your representative and Support Coordinator with access to your monthly budget statement and online dashboard. By extending and sharing this information, the coordination of supports and management of your funding is more transparent and simplified for all concerned.

NDIS Payment Processing

We process, claim, and pay invoices 5 business days. We have a dedicated email inbox providing you with an automated response to ensure you know we have received your invoice. All invoices we receive are processed within 24 hours of receival. They are then claimed and paid upon approval from the NDIA.

A dedicated Finance Manager is available via email or phone should you have any query in relation to the payment of invoices or require additional remittances. We are committed to assisting providers as well as our participants, including understanding the NDIS Price Guide through providing templates and advice.

Provider Management

We work directly with your providers and Support Coordinators, reducing the administration work for you. Transparency of information is important, and all documentation is recorded and maintained, and then reconciled against your Budget Statement. 

The ability for Support Coordinators to log in to the online dashboard and have your monthly statement emailed to them also means that they have the most up-to-date knowledge of your NDIA budget.

Frequently Asked Questions


To be able to access Plan Management services, you must have ‘Improved Life Choices’ included in your NDIS plan. This covers all Plan Management fees. If you don’t currently have ‘Improved Life Choices’ included in your plan, you can ask for this to be included in your plan at an upcoming meeting OR request a review of your NDIS plan by following the steps below:

  1. Contact the NDIA to request a plan review to be plan managed and to have more choice and control over the providers you want to use.
  2. Once the NDIA have conducted the review, they will let you know if you have been approved to receive Plan Management services.
  3. Don’t forget to let Specialised Plan Services know that this is happening, and we can supply you with the forms you need to complete for us to assist you as Plan Managers.
  4. Relax knowing that we are now looking after it all – the administrative burden of managing and playing suppliers is no longer an issue for you!

The benefits of Plan Management include:

  • Plan Management is funded within your plan under Improved Life Choices and is no cost to you. As explained by the NDIS, it will not reduce other supports & services identified as reasonable and necessary in your plan.
  • You have the freedom to choose any service provider, even if they aren’t registered with the NDIA. You have the power to choose the best care and services to meet your needs.
  • Plan Management offers seamless processing as suppliers can send invoices directly to a Plan Manager to ensure you’re not having to administer invoices or juggle paperwork.
  • Invoices and portal claims are completed for you, paperwork is managed, and spending is tracked and reconciled. You also receive monthly plan balance statements, helping to resolve service queries and supporting you to make the most of your funding.

There are NO out of pocket costs to you to be plan-managed as the cost is funded by the NDIA from a separate budget line item called Improved Life Choices. This means the cost of Plan Management will not take away funding for your other important supports like therapy or support workers.

Plan Managers must be registered with the NDIS. A Plan Manager’s role is to take care of the administration of your NDIS funding. Your providers send their invoices to your Plan Manager, who then pays these invoices on your behalf. They also help you to manage your budget and discuss how you might like to spend it.

Plan Management is the process of administrating the financial aspects of your plan. This includes paying supplier invoices, creating service bookings and preparing monthly statements summarising how your funds have been spent. Having a Plan Manager also means you can use service providers who are either registered or not registered with the NDIS.
